Job Description

A. Ordering Parts:
> Receiving Parts quote from SA
> Shortlist the approved parts and raising the Lpo against the quote
> following up with parts department / vendor (External parts suppliers) regarding parts and invoice.
Arranging Bodyshop sublets store:
> Reviewing purchase quote, interviewing sales representatives, securing quotes and coordinate with BS Manager to select the quality products.
> Arrange all paint related consumables and order from BS Vendors time to time
> Control the monthly consumables in timely manner.
Arranging Technician Tools and uniform:
> Co-ordinate with BS supervisor to Review the technician tools
> Arrange to provide new uniforms and shoes for technicians and BS staff.
> Ensure that all the technicians have the required tools and uniforms time to time.
Building maintenance:
> Communicating with building maintenance team for equipment and facility maintenance needed inside the body shop.
> Co-ordinate with internal and external maintenance team to maintain BS paint booths, air compressor and repair or service it as required.
LPOs and Petty cash:
> Purchase all department related items (stationary, pantry items, job cards and invoice books etc..) through PO
> purchase BS related items through petty cash when required and submitting the required Documents to head office.
Posting materials and external services:
> invoicing all purchase invoices for every single SO in the system (parts, paint invoices, consumable invoices, ….)
> submit all the BS related invoices to accounts team and following up the payment of vendors in timely manner
> Maintain the documentation and filing all archived invoices and keep the records time to time.
Others:
> Preparing monthly reports of bs consumables and paint repairs
> Maintain the attendance records
> Doing general administration works.
